This policy explains what personal information TraceAnalytics collects through this website, why we collect it, and what we do with it. We follow the Information Privacy Principles in the New Zealand Privacy Act 2020.

In this policy, “TraceAnalytics”, “we”, “us” and “our” mean TraceAnalytics Ltd, a company registered in New Zealand. “You” means anyone who visits this website or gets in touch with us.

Information we collect

Information you give us. When you fill in our contact form, we collect:

• your full name
• your email address
• your phone number, if you choose to give it
• anything you write in the project details field.

We also collect whatever you include when you email, call or message us.

Information collected automatically. Like most websites, our hosting provider keeps standard server logs. These can include your IP address, browser type, device type, the pages you visit, the website that referred you and the date and time of your visit. We use this information only to keep the site running, secure and fast.

How we use your information

We use your personal information to:

• reply to your enquiry and talk with you about your project
• prepare proposals and provide services if you become a client
• keep records of our conversations with you
• keep this website secure and working properly
• meet our legal, tax and accounting obligations.

We won’t use your information for marketing unless you’ve asked to hear from us. You can opt out at any time.

Sharing your information

We don’t sell, rent or trade your personal information.

We only share it when we need to, with:

• service providers who help us run our business, such as website hosting, form handling, email and file storage
• professional advisers such as accountants and lawyers, when needed
• government agencies or law enforcement, when the law requires it.

Our service providers may only use your information to provide their services to us.

Storing information overseas

Some of our service providers store data outside New Zealand, for example in Australia, the United States or the European Union. When this happens, we take reasonable steps to make sure your information is protected in a way that is comparable to the New Zealand Privacy Act.

How long we keep it

We keep enquiry details for as long as we need them to respond to you and follow up. We usually delete them within 24 months of our last contact unless you become a client. Client records are kept for as long as the law requires, which is generally seven years for business and tax records.

Keeping it secure

We take reasonable steps to protect your personal information from loss, misuse and unauthorised access. This site is served over an encrypted (HTTPS) connection, and we limit access to your information to people who need it.

No method of sending or storing information online is completely secure. Please don’t send highly sensitive information, such as passwords or financial details, through our contact form.

Your rights

You have the right to:

• ask whether we hold personal information about you
• ask for a copy of that information
• ask us to correct information that is wrong or out of date.

To make a request, contact us using the details below. We’ll respond within 20 working days. We may need to confirm your identity first.

If you live in the United Kingdom or European Union, you may have extra rights under the GDPR. These include the right to ask us to delete your information, to limit or object to how we use it, and to receive it in a portable format. Contact us and we’ll help.

If you’re not happy with how we’ve handled your information, please tell us first so we can try to fix it. You can also complain to the Office of the Privacy Commissioner at privacy.org.nz.

Children

This website is for businesses and isn’t aimed at children. We don’t knowingly collect personal information from anyone under 16.
